Human Resources Coordinator

SUMMARY: This position will be responsible for various HR tasks including HR system functions, drafting offer letters, managing notary procedures, maintaining filing systems, and creating and managing personnel files. The ideal candidate will have 1-2 years of HR experience, preferably with exposure to HRIS systems such as Success Factors or similar platforms. This role requires a college degree and a strong aptitude for technology, as well as exceptional organizational skills to manage processes effectively.

RESPONSIBILITIES:

  • Utilize HR Systems (Success Factors, DM Info) to input, update, and maintain employee records and data accurately.
  • Draft, review, and distribute offer letters and employment letters to new hires.
  • Coordinate pre-employment activities such as background checks
  • Coordinate and oversee notary procedures
  • Troubleshoot issues with time and attendance system in support of employees and managers
  • Handle new hire and departure notifications
  • Supports compensation related duties as needed; Prepares payroll overtime trend analysis report and update job descriptions
  • Assist with the scheduling of the firm’s professional development classes in the firm’s Learning Management System
  • Process invoices for payment
  • Manage electronic and physical filing systems to ensure documents are organized and easily accessible.
  • Create and maintain personnel files in compliance with company policies and legal requirements.
  • Assist with the planning and execution of HR and employee events, including meetings, training sessions, and employee recognition events.
  • Collaborate with HR team members to ensure smooth and efficient HR operations.
  • Provide support in various HR-related tasks and projects as assigned.

REQUIREMENTS:

  • Bachelor's degree in Human Resources, Business Administration, or a related field.
  • 1-2 years of experience in Human Resources, with exposure to and/or proficiency with HR systems preferred
  • Strong attention to detail and accuracy in data entry and record-keeping.
  • Excellent organizational and time-management skills, with the ability to prioritize tasks effectively.
  • Comfortable working with routine and repetitive processes.
  • Strong Technical Skills with demonstrated ability to adapt to new technologies and learn software applications quickly.
  • Excellent communication and interpersonal skills.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
  • Proactive attitude and willingness to take on additional responsibilities as needed.
