Receptionist - Austin

SUMMARY: We are seeking an experienced Receptionist to provide award-winning customer service to our clients. The ideal candidate should have strong administrative skills with a focus on attention to detail. The day to day duties includes managing office tasks while also answering calls from customers, answering questions and helping visitors. Other responsibilities include taking inventory of office supplies, file management and drafting letters.

 

ESSENTIAL FUNCTIONS:

Reception:

  • Answer, screen and direct calls to the appropriate individual in a professional manner.
  • Makes visitors welcome.

     

    General Office Tasks:

  • Files andmaintains records, copies documents, and schedules meetings.

     

    Administrative Tasks

  • Sorts and distributes incoming mail, deliveries, faxes and other communications; facilitates the dispersal of outgoing communications.
  • E-mailsimportant announcements to other staff members as directed by Office Manager.

     

    Attorney and Staff Support:

  • Assists with light overflow of revising legal documents.
  • Assists Legal Assistants with producing and disseminating mass mailings.
  • Managesoffice calendar.

     

    Other Duties:

  • Prepares check requests.
  • SubmitsAttorney’s expenses and vendor’s invoices through Chrome River.
  • Maintainsandassemblesmarketingmaterials.
  • Secures meeting space both inside and outside the office.
  • Makes reservations for business lunches or orders in.
  • Clears meeting room when finished.
  • Tests video and computerequipmentand assists with set-up of video meetings

     

    PREFERRED QUALIFICATIONS:

  • Precise attention to detail
  • Ability to multi-task
  • Good organization skills
  • Superior customer service skills
  • Strong clerical skills: filing, data entry, basis math calculations and IT acumen
  • Writing and proofreading skills
  • Some knowledge of legal terms strongly preferred

 

EDUCATION AND EXPERIENCE

  • High School degree or equivalent
  • 3-5 years’ previous experience in a fast paced legal or corporate environment
  • Experience as an administrative assistant, secretary or receptionist
