Overview: Duane Morris LLP, a global law firm with 900+ attorneys in offices across the U.S. and around the world, offers innovative solutions to the legal and business challenges presented by today’s evolving global markets. This position will require a minimum of 4 days in the office per week per the firm’s hybrid work policy.
Summary: We are seeking a Senior Proposal Manager in our Marketing and Business Development department to develop, manage, and deliver high‑quality, strategic, and competitive responses to Requests for Proposals (RFPs), Requests for Information (RFIs), multi-practice pitches, and related opportunities for the firm. This role reports to the Director of Marketing Information Systems and manages the proposals team, serving as the primary supervisor for its members and providing ongoing oversight, guidance, and professional development to direct reports. This role supports new business pursuits, and cross‑sell opportunities in a collaborative, fast‑paced environment. This individual will work closely with Marketing and Business Development Managers and lead attorneys, as well as pricing, compliance counsel, and other firm resources to develop compelling proposals.
The ideal candidate combines the ability to craft persuasive, targeted proposals that speak directly to client requirements and firm strengths with exceptional attention to detail, a true sense of ownership over their work, and the agility to shift seamlessly between unrelated projects in a fast-paced, team-oriented environment.
Key Responsibilities:
- Oversee end-to-end proposal development: from RFP intake, strategic analysis, and compliance matrices to final assembly and submission.
- Work with partners, practice and industry groups, and BD professionals to develop customized content showcasing firm strengths, matter highlights, team bios, and client-specific value propositions.
- Manage, mentor, and develop members of the proposals team to ensure consistent quality, professional growth, and efficient workload distribution.
- Assess RFP opportunities, recommend bid/no-bid decisions and focus the firm’s resources on high-value opportunities.
- Lead kick-off meetings, facilitate internal coordination with attorneys, business development, pricing, information security and other key contributors.
- Leverage tools like Foundation Proposal Automation, Responsive/Loopio/Qvidian, and related platforms to produce visually compelling, branded materials under aggressive timelines.
- Analyze pursuit pipelines and optimize reusable content libraries, boilerplate, and processes.
- Work with Marketing and Business Development Managers to analyze and evaluate RFPs, create custom pitch books and practice-specific content
- Assist with market research as needed in connection with current and prospective clients.
- Handle due diligence research for business development opportunities.
- Track key metrics, including win rates and response times. Report on proposal activity to marketing leadership and firm management.
- Stay current with industry trends, best practices and competitor activity to ensure the firm’s approaches are effective.
Qualifications:
- Bachelor's degree in Marketing, English, Journalism, or equivalent.
- 7+ years of proposal coordination or response writing in legal, consulting, or professional services.
- Experience with structured proposal methodologies (e.g., APMP, Shipley).
- Advanced proficiency in Microsoft Office Suite, including style templates.
Required Skills:
- Exceptional proofreading/editing skills and written communication- persuasive, concise, and legally precise.
- Organizational prowess to manage multiple simultaneous deadlines and stakeholders.
- Exceptional communication skills, including flexibility and creativity to respond strategically to individualized needs of attorneys.
- Experience with procurement and RFP platforms such as Persuit, Priori, Ariba, Jaggaer, Bonfire, JusticeBid.
- Proactive problem-solver with poise in interacting with senior attorneys.
Preferred Qualifications:
- Law firm or professional services background.
- Solid grasp of legal services marketplace, including AmLaw rankings, key clients, and industry trends.
- Certification in proposal management (APMP Foundation).
- Familiarity with AI-assisted content tools and data analytics for BD.
