Legal Assistant - Intellectual Property - Silicon Valley

Duane Morris LLP, a global law firm with more than 800 attorneys in offices across the United States and around the world, is seeking an experienced Patent Prosecution Legal Assistant in our Silicon Valley office.

The selected candidate will perform most or all of the following:

· Monitors filing deadlines noted on docket reports for all US and foreign patent applications. Assists with the review and clearing of docketing and communicates details to Docketing. Has experience working with several client docketing and patent management systems, such as Anaqua and CPI.

· Assists with the preparation and filing of patent applications and related documents with the USPTO. Ensures legal documents are processed in a timely and efficient manner, complying with the firm’s quality control requirements and USPTO regulations and deadlines.

· Assists with the preparation and timely filing of Post Grant proceedings, including inter partes review, covered business method, ex parte re-examination, post-grant review and other documents in ongoing post-grant proceedings, complying with the firm’s quality control requirements and USPTO regulations and deadlines.

· Assists in the preparation of PCT applications and correspondence to foreign associates. Prepares routine correspondence for attorneys and paralegals. Creates reports, letters and legal documents utilizing in-house software/database tool.

· Creates, maintains and organizes electronic and paper files.

· Maintains client files including preferences and contacts. Familiarizes self with client base.Has large law firm experience and experience working with Fortune 50 company clients with large patent portfolios and understands the communications and workload tasks required for managing such large portfolios.

· Drafts, types and proofreads correspondence, memoranda and other legal documents.

· Reads, sorts and dates incoming mail. Ensures timely distribution of outgoing mail, procuring specific delivery services when appropriate. Follows-up on delivery. Sends, receives and delivers faxes.

· Establishes and maintains calendar and deadline reminder systems utilizing master calendar system. Makes appointments and assists with travel arrangements for attorneys.

· Opens new files, requests conflict of interest checks with record center and maintains on-line and hard-copy files. Conducts periodic reviews for possible storage of older files, preparing files to be closed

· Proofreads billing sheets, and reviews and edits bills. Processes timesheets, client bills and expense vouchers

· Greets clients and visitors; maintains positive working relationship with clients; and observes confidentiality of attorney/client relationships

QUALIFICATIONS:

· High school diploma or equivalent required with a minimum of two years’ experience supporting Patent Prosecution attorneys

· Significant knowledge of civil and patent procedure and electronic filings

· Strong writing and proofreading skills to aid in drafting and editing legal documents

· Proficiency using Microsoft Outlook, Word, Excel, PowerPoint. Experience using Anaqua is a plus

· Ability to prioritize multiple tasks and projects under tight deadlines

· Excellent interpersonal skills necessary to communicate and provide excellent customer service internally and externally, whether in-person or by telephone or email

· Must be able to follow instructions effectively from a diverse group of clients, attorneys and staff and provide information with courtesy and tact

· Must be able to maintain discretion and confidentiality
