Legal Assistant - Real Estate - Chicago

SUMMARY: We are seeking a Real Estate Legal Assistant to provide legal support to assigned attorneys dealing with leases, purchase and sale agreements, financing documentation, lending requirements and related documentation. Responsibility will include coordination with firm administrative personnel of intake of new clients and new matters for existing clients, conflicts clearance and monthly billing.


•Prepare legal documents and correspondence from draft to final executed documen
Organize and maintain paper and electronic client files in the document management system
•Ensure client files are up to date and ready for quick access and reference
•Schedule documents signings including coordination of witnesses and notary public and assisting with execution
•Schedule appointments, meetings and travel arrangements
•Open new client/matters, conflicts searches and maintains client files
•Maintain email and calendar, heavy document production, word processing and other administrative duties as assigned
•Enter attorney time entries into billing system with minimal to no errors
•Process invoices and billing, correspondence, and expense reimbursements
•Maintain attorney contact lists and assists with attorney business development as needed
•Provide prompt telephone coverage, taking detailed messages in a professional and friendly manner
•Maintain high level of confidentiality
•Other administrative duties or special projects as assigned


  • Extremely well-organized with the ability to handle detailed work with accuracy
  • Ability to multi-task in a fast-paced environment and prioritize responsibilities
  • Team player with a strong desire to contribute to the firm’s success
  • Professional demeanor
  • Ability to work independently and collaboratively
  • Excellent typing skills with a typing speed of 65 words per minute
  • Excellent proofreading skills
  • Excellent knowledge of correct grammar, spelling and punctuation usage
  • Proficiency in Microsoft Word, PowerPoint and Outlook


  • The ideal candidate will possess a minimum of 3-5 years of experience, preferably in a large law firm setting
  • Commercial real estate or transactional experience is required
  • Experience with iManage (electronic document management system) preferred
