Document Specialist - Las Vegas

SUMMARY: Under the general supervision and according to established policies and procedures, prepares a variety of documents using a transcriber and the firm’s word processing software. Maintains positive contact with attorneys and support staff; observes confidentiality of personnel and firm matters.

 

ESSENTIAL FUNCTIONS:

  • Assists in the development and implementation of a word processing procedures manual for attorneys and staff.
  • Creates and edits legal documents such as briefs, letters, charts, forms, graphics, and other written material.
  • Coordinates the firm’s “forms manual” based on standard documents, formats, and boilerplate samples from attorneys, paralegals and staff.
  • Runs indexes for attorneys, paralegals and staff so that obsolete documents may be destroyed.
  • Monitors and orders word processing supplies to ensure that reserves are maintained.
  • Formats, edits and styles complex WORD documents at an advanced level, including but not limited to auto numbering, mail merges, tables, embedded objects, TOC and TOAs.

 

PREFERRED QUALIFICATIONS:

  • Excellent communication and time management skills
  • Proficient in MS Excel, PowerPoint and Word
  • Familiar with firm forms, document formats and printing requirements.
  • Understands all aspects of the firm’s word processing software packages.
  • Understands specialty areas of practice and is capable of attaching appropriate enclosures for specialty area without the need for supervision.
  • Excellent document skills, including formatting and styling documents, creating TOC's and TOA's and conversion/formatting of documents.

 

 

EDUCATION AND EXPERIENCE :

  • Bachelor’s degree in English preferred but not required
  • Minimum of 3- 5 years’ experience in a Document Specialist related role
