Pro Bono Administrator

JOB SUMMARY

The Pro Bono Administrator will work directly with the Pro Bono Partner and Pro Bono Counsel to manage administration of the firm’s Pro Bono Program.  The position involves interaction with all stakeholders both internal and external.

The Administrator must be highly organized, possess excellent communication (oral and written) skills, be able to multitask in a fast-paced environment, meet concrete deadlines, have a can-do attitude, be able to anticipate next steps and be a solid team player.  The ability to perform analytical work with a high level of attention to detail and high standards for accuracy and quality are required.  Maintaining positive relationships, both internally and externally, while maintaining a client-service orientation and using independent judgment and discretion in dealing with confidential information also are required.

PRINCIPAL DUTIES AND RESPONSIBILITIES

  • Administer and Coordinate Administration of International Pro Bono Program
    • Facilitate, manage and track intake of new pro bono matters
      • Receive, review, and prepare case opportunities/requests for legal assistance for internal distribution
      • Identify and inform interested attorneys of specific pro bono opportunities
    • Serve as contact person for internal questions regarding pro bono administration and procedures
    • Manage processes with records and finance departments on client/matter issues including matter closing, time entries and transfers, disbursement billing, engagement letters, and other items as they arise
    • Secure status reports and help facilitate transfer of open pro bono matters from departing pro bono attorneys
    • Maintain a database of volunteer and/or vendors providing interpretation and translation services
    • Identify, execute, and manage special pro bono projects with external partners, such as clinics, client-firm collaborations, and pro bono recognition events
      • Plan and execute pro bono events and legal trainings; coordinate with CLE staff as necessary
      • Organize and manage staffing of pro bono clinics; through consultation with Pro Bono Counsel, ensures appropriate staffing levels for clinics
    • Compile and manage monthly hours and statistics reports; analyze data and report trends in breadth/depth of pro bono participation
    • Assist with preparation of survey responses and other external reporting of pro bono and community service activities, including reports of services rendered to clients referred by legal service organizations
    • Develop and sustain relationships with other non-attorney pro bono managers in firms in designated cities; attend/help coordinate events held by pro bono professional organizations
    • Attend internal Pro Bono Committee meetings and prepare minutes following each meeting
    • Increase the efficiency of the Pro Bono Program through re-engineering of existing processes and greater use of technology to intake, open, track pro bono hours, cases, attorney involvement, and attorney interest/expertise
    • Provide interpretation and translation assistance to clients and pro bono attorneys as needed via email, phone, video, text, and in person
  • Pro Bono Program Communications
    • Collaborate with Marketing and Communications staff to ensure appropriate visibility of Pro Bono Program activities, including drafting periodic Pro Bono Newsletters, annual Pro Bono Report, and other content
    • Maintain and update the Pro Bono Program intranet and external website
    • Manage content for Discovery News, press releases and other communication channels
    • Track all press mentions of Duane Morris Pro Bono Program efforts and ensure they are re-publicized as appropriate

    QUALIFICATIONS (Minimum knowledge, skills, and experience requirements):

     

  • Bachelor's Degree in social services, community outreach or communications
  • 2 years of experience working in a non-profit or legal services environment
  • Bilingual in English and Spanish (speak, read, and write)
  • Experience with oral and written Spanish to English translation and interpretation
  • Strong oral and written communication skills
  • Proficiency with Microsoft Office Suite applications, especially Excel and PowerPoint
  • Ability to work discreetly with highly confidential information
  • Ability to work independently, at times with minimal supervision
  • Ability to interact in a polished and professional manner with every level of firm personnel
  • Outgoing, optimistic, flexible, persuasive, patient and entrepreneurial
  • Excellent organizational skills and detail oriented
